Privacy Policy

Daycare Handbook and Contract Builder ("we", "us") is a product of F&S VENTURES LLC, a Minnesota limited liability company, United States. This policy explains what we collect, why, who processes it for us, how long we keep it and how to have it deleted. Questions: hello@homedaycarecontract.com.

Who this covers

Providers who create an account to build a handbook and contracts, parents who open a signature link a provider sends them, and visitors to this website.

What we collect

• Provider account: your email address, a password hash (never the password), or your Google account identifier if you use Continue with Google, and the time you accepted the Terms.
• Provider program details you enter: business name, your name, address, state, home type, capacity, ages served, hours, time zone and the answers and text you write for each policy section.
• Family details you enter: a family label, the child's first and last name, start date, schedule, tuition, registration fee, and each parent's name and email. We do not ask for or accept birth dates, health or medication information, Social Security numbers, photos, custody papers or any upload about a child. Please do not type that kind of information into free-text fields.
• When a parent signs: the typed name, the email the link was sent to, the IP address, the browser's user-agent string, the time, the consent to use electronic records, and the document version with its SHA-256 fingerprint.
• Billing: handled by Stripe. We keep your Stripe customer and subscription identifiers and plan status. We never see or store your card number.
• Website and app usage: pages viewed and key events such as completing a handbook, through Google Analytics 4, and, once enabled, anonymised session recordings through Microsoft Clarity. Screens that show family, contract, tuition or signature information are masked from Clarity.
• Error reports: technical error details through Sentry, scrubbed of names, emails, child names, tuition and policy text before they are sent.
• Messages you send us: the content of any message sent through the contact form or to hello@homedaycarecontract.com.

How we use it

To run the service: build and export your documents, send signature requests, one reminder and signed copies to the parents you name, bill your plan, protect the service from abuse (Cloudflare Turnstile checks), answer your messages and measure how the site is used. A parent's email is used only for that family's signature flow. We never send marketing email to parents. We do not sell personal information and we do not use your documents, your families' details or your policy text to train any model or share them with anyone beyond the processors below.

Who processes it for us

• Render (hosting and database), United States.
• Stripe (payments and billing).
• Resend (transactional email: signature requests, reminders, signed copies, password resets and account notices).
• Cloudflare (DNS and Turnstile bot protection).
• Google (Analytics 4, and Sign in with Google if you choose it).
• Microsoft Clarity (session analytics, when enabled).
• Functional Software, Inc. d/b/a Sentry (error monitoring).

They act on our instructions and only to provide those services.

How long we keep it

Account and document data stay until you delete your account. Signature records stay with the provider's account for as long as the account exists, so the provider can show who acknowledged which version. Server logs and error reports are kept for a short operational period. Billing records are kept as long as tax and accounting law requires.

Your choices and deleting your data

You can delete your account from the account page. After you type a confirmation, we delete your program, documents, families, guardians and signature records. We offer a ZIP of your signed PDFs first. You can also email us to ask for access, correction or deletion; a parent who wants their details removed can ask the provider or write to us. We reply within 30 days. Residents of California and other states with privacy laws can make the same requests, and we will not treat you differently for doing so.

Security

Connections use TLS. Passwords are hashed. Signature links use 32 random bytes and only a hash of the link is stored. Documents are available only to the signed-in provider who owns them, never at a public address. No online service is perfectly secure, and we cannot promise it.

Children

The service is for adult providers and parents. We do not knowingly collect information directly from children.

Changes

If we change this policy in a way that matters, we will update the date above and, for accounts, notify you by email.
